Service Deposits (Prepayments for a Service)

Service Deposits allow your practice to set up an amount that you want to accept during the time of online and in practice booking.

Set Up Service Deposits

1. From the appointments tab, click on the wrench icon, Smart Configuration, and then the Services tab. Click on the service you'd like to take a deposit on.

Under, "Does This Service Require a Deposit?", click Yes and associate your deposit amount.

2. When the patient goes to book online, any service that has a deposit attached will have a pop up notifying them of the required prepayment. The patient will then be required to put in their credit card information to complete the booking.

3. When booking an appointment for a patient in clinic, you will be given the option to waive or confirm the deposit.

Locate Deposits in the Wallet

4. Once the client has been charged, you will find the deposit as a Dollar Credit in their wallet. You'll be able to use this at check out in the Tender Screen as a form of payment!

  1. Go to the patients tab and choose a patient

  2. Click on patient wallet

  3. Under Dollar Credits you will see the deposit was added- the wallet log will show you the date, time and service that the deposit was for.

You do not need to manually add the deposits in the wallet. They will appear automatically once the deposit has been paid by the patient.

Apply the Deposit at Checkout

5. To apply their pre-paid deposit to their total payment, locate and select AR Wallet as their payment method. Available wallet balances will show here as well. If the AR Wallet says "Unavailable", you will need to save and back out of the invoice, go to the patient's profile > wallet and add the funds before being able to use the AR Wallet as a payment method.

There are a few things to keep in mind when using the AR Wallet/Service Deposit as a payment method at the time of checkout:

  • Funds in the AR Wallet cannot be used to cover a Tip amount for a provider. So even if a patient's service deposit covers the price of their service, they will need to choose a secondary payment method following to cover the tip amount.

    • This doesn't prevent the AR Wallet from being used, however, you will just see a remaining balance due after completing the transaction with the Wallet funds.

  • You can click the (i) icon on the notification to view more information.

The photos below are from the AR App, however the steps are the same when checking out a patient on the Web as well.

6. Click on Business Insights, Sales, Sales Summary.

When it comes to reporting, this service deposit will show under the Wallet Credit section in your Sales Summary and when used as a Wallet Debit.

You can also find patient specific information under the short term liability report (who has an outstanding deposit.)

Additional Features

7. If a user decided to Waive the Service Deposit, you will see this in the User Activity Log which can be found from the control center by clicking the clock icon.

**Patients will NOT be given the option to waive the deposit on the online booking page. This is only available in clinic.

8. Click on the Sales tab at the top. Locate the Items column. If a deposit has been paid, it will say "Deposit" followed by the service the patient is prepaying for.

9. In the patients payment history (on their patient profile), you will see that it is located under invoices.

10. Each service deposit invoice will have "Service Deposit" listed in the top right corner.
