You can update your booking increments and lead time as well as enable and disable the "Book with First Available" button via web.

You can update your booking increments and lead time as well as enable and disable the "Book with First Available" button via web

You can also choose if your patients will be able to cancel or reschedule their appointment on their own!

1. Navigate to https://app.aestheticrecord.comand click on the appointments tab at the top.

2. Click the wrench icon.

3. Click "Smart Configuration"

4. Click "Booking Portal"

5. Click "Settings"

6. Change your booking increments/intervals. For example, if you select 15 minutes, the time slots that will show up on the booking page will be 10AM, 10:15AM, 10:30AM, 10:45AM, 11AM, etc.

Why Adjust Booking Increments?

  • Flexibility for Clients: Smaller increments (e.g., 10 minutes) provide more options for clients to book appointments at their preferred times.

  • Operational Efficiency: Larger increments (e.g., 30 minutes) can help manage busy schedules more effectively by reducing the total number of appointment slots offered per day.

    To modify your increments, navigate to the "Appointment Times" section and click the paper-and-pencil icon to edit the time slots available for booking. Choose a desired interval such as 10 or 15 minutes and click 'Save' to apply your changes.

    Booking increments control the time intervals at which appointment start times are offered to clients in the booking portal. You can configure increments to offer appointment slots every 10, 15, or 30 minutes. These increments define the available start times but do not introduce automatic buffer periods between appointments.

7. Update your minimum lead time (it only affects online booking). If you don't want a patient to book an appointment within 1 hour before the appointment time, for instance, you can choose 1 Hour as your lead time. If you choose 24 hours, they cannot book an appointment within that 24 hour time frame. If you choose instant, you are essentially saying you can take walk-ins.

8. Enable or disable Book with First Available button on your online booking page. If you enable this, your patients can click on it receive the nearest booking slot as it chooses the provider with the soonest availability.

10. Patient's ability to cancel or reschedule their appointment on their own through the patient portal.

If you want your patients to have the ability to cancel or reschedule on their own, toggle on "Manage Appointments through Customer portal". If you don't, toggle off.
