FAQ: Patient Wallets

Q: How can my staff easily add and manage patient loyalty rewards like Alle, Aspire, and Xperience points within Aesthetic Record? Specifically, how does the system handle automatic point additions for ASPIRE integration?

A: Your staff can easily add Alle, Aspire, and Xperience points to a patient's wallet via the web or app.

  • On the Web, navigate to the Patients tab, find the patient, click on their profile, and then select Patient Wallet. From there, you can add or remove points.

  • On the App, go to the All Patients page, find the patient, tap their profile, then the 3 Dots in the top right, and select Wallet. Swipe from right to left to add or remove Alle/Xperience Points.

Importantly, if you are using the ASPIRE integration, points and certificates will be added automatically. Please refer to the specific articles for ASPIRE help.

Allē Points are tied to Allergan Patient Rewards, Xperience Points are tied to Merz Patient Rewards, and Aspire Credit & Aspire Certificates are tied to Galderma Patient Rewards.

Q: What are the different methods for adding value to a patient's Wallet (products, packages, dollar credits, loyalty points) through the web and the app? How do I ensure my staff has the necessary permissions to do this? What is the system behavior for automatically adding prepaid discounts and services to the Wallet?

A: You can add products/packages, dollar credits, and Alle/Aspire/Xperience points to the patient's wallet via both the web and the app.

  • On the Web: Log in to your AR account, go to the Patients tab, find the patient, and click on Patient Wallet. From this page, you can add or remove dollar credits, loyalty points, and products/packages.

  • On the App: Log in to the AR app, find the patient, go to their timeline, tap the 3 Dots, and select Wallet. To add a product or package, click the + symbol. Swipe right to left to add or remove dollar credits and Alle/Xperience Points.

If you don't see the Add/Remove button on the web, ask your Head Admin to update your user privileges and click the Add/Remove Dollar Credits box for you. Once updated, log out and back in.

Prepaid discount packages and services are automatically added to the wallet once the payment is taken, so manual addition is not needed.

Q: How do patients utilize dollar credits from their AR Wallet for payments? How will my staff know if a patient has available dollar credits?

A: To redeem dollar credits, select AR Wallet as a payment method on the checkout screen. If the AR Wallet option is gray and says Unavailable, it means the patient does not have dollar credits in their wallet.

If a patient should have credits but doesn't, save and back out of the invoice, go to their profile > patient wallet > and apply the dollar credit amount. Then, re-enter the invoice, and the AR Wallet should be available as a payment method.

Q: What settings are available for managing patient wallets, such as setting expiration dates for items added to the wallet?

A: You can manage patient wallet settings on the web by going to Settings Gear icon > POS > Patient Loyalty > By Wallet Settings, click "Edit". Here, you can choose your desired preferences and hit save. For example, you can set an expiration duration (in days) for items added to the wallet, such as a free monthly facial expiring after 90 days.

Note that this rule applies to any items that go into the wallet, regardless of whether they were added via a membership or other means.
