Managing Appointment Details through the Web

Manage upcoming appointment details from the calendar for no shows, cancellations, and check ins.

2. Head to the calendar via "Appointments" tab at the top.

3. You can pull up appointment details by clicking on the time slot from the calendar

4. You can add any appointment notes between when the appointment was scheduled, and when the patient arrives and gets checked in for their visit. Click the little edit box to the right of "Appointment Notes".

5. Click "Save" after adding any notes for the appointment. Appointment notes also get saved as a general note to the patient's profile for past and future reference as needed.

6. If you need to edit the Provider tied to the visit without editing other details of the appointment, you can click the edit box next to "Medical Provider" to switch out the Provider.

Keep in mind, only providers who are able to perform this service, and who are available during this time will show as an option to select.

7. If you need to edit or reschedule the appointment overall, you can do so by using the "Edit" button at the top of the details page. This will open back up the main appointment creation screen to choose and change all booking actions.

8. Click the patient name at the top if you need to access the patient's overall profile details and information.

9. If a patient no shows their visit (outside of any given grace period) you can mark them as a no show and this will charge the cancellation fee automatically, if you have one set up and enabled. This will also remove their appointment slot from the calendar. You can view No Show reports through your Business Insights section.

10. If a patient appointment is cancelled prior to their appointment time, you can click Cancel Appointment. This will remove their appointment from the calendar altogether.

If you have a cancellation policy in place and the appointment is cancelled within the fee window, the system will ask you if you would like to charge or waive the cancellation fee amount.

11. On the day and time of their visit, you can use the "Patient Check In" button to check them in upon arrival. This action can only be done with in-person appointments and not virtual appointments.

The patient check in button is only visible on the day of the appointment- keep this in mind if you don't see the check in button!

12. After clicking the "Patient Check In" button, you will be prompted to record a room number, and you can add any additional notes to record in patient notes section/send to the provider. The room is always required, so this is a helpful tool if you have room names or numbers! Otherwise you can just put something in place if room is not applicable to you.

13. When you click "Complete Check In", this will record in the system that the patient has arrived and will have a completed appointment. You can manage providers receiving sms upon check-in through their provider profile under the Teammates Tab in Settings.

14. If you accidentally check a patient in before arrival, you can click back into details and hit "Uncheck Appointment" to reset the appointment and make changes if needed.
