This will block out the time, so that your patients and staff will not be able to schedule an appointment during your OOO event. If, for instance, a provider is open on a specific day from 9AM-9PM (as added in the provider schedule) but they need to be unavailable from 12PM-1PM to attend a meeting, an out-of-office event can simply be created for them. You can book an OOO on the web or the iOS App.
Book an OOO on the Web
1. From the Appointments tab, click the blue Create button, or click directly on the calendar where you want to add the Out of Office event.
2. Select the type as "Out of office".
3. Select your clinic.
4. Choose the time frame for your Out of Office event.
5. Name the event and choose the provider/providers that the event pertains to.
6. If you want the OOO event to repeat, select the frequency from the dropdown menu.
7. If the event does repeat, you can select it to end on a certain day or after a certain number of times.
8. Click "Save"
9. When you look back at the provider calendar, the OOO event blocks off that time frame, preventing any patient appointments from being booked.
Tip: The patients will not see the name of the Out of Office event on the booking page. They will only see the provider as unavailable during that time.
10. If you want to delete the OOO event, click directly on the event. When you see the pop-up, click Delete.
You can also click Edit to change the details of the OOO.
11. You will also be given the option to delete all the following OOO events if you selected for it to be repeated. If you select yes, this will not delete OOO events that were created at a different time. This only applies to the same OOO event if you selected for it to repeat.
Book an OOO on the App
12. Once logged into the app, click the blue icon in the bottom right and then the calendar icon.
13. Switch from Appointment to Out of Office and complete the steps.
