Quick Link to Patient Profile from Inbox on Web

Quickly access a patient's profile directly from your inbox messages with them on the web.

Patient profiles are now hyperlinked within inbox messages. This allows you to easily message patients while simultaneously reviewing their profile details and any required actions.

Clicking these links will open the profile in a new browser tab, ensuring you don't lose your place in the inbox. Let's review the steps and workflow below.

Quick Link to Patient Profiles from the Inbox

1. When logged into your account through the web, head to the Inbox tab at the top.

If you are actively messaging a patient, this is where the hyperlink feature is going to be super helpful!

Example, let's say you are texting a patient regarding their upcoming appointment and need to check the details of their profile/ completed paperwork. ⚠️

2. In the upper right hand corner to the right of their patient name, you will see a blue Expand/Open icon.

When clicked on, this will open a new tab in your browser, and take you directly to their patient profile. You will still have the Inbox tab open as well, ensuring you don't lose your place in the Inbox!


Clicking into Deleted Patient Profiles from Inbox

However, let's say you are viewing a text message thread with a patient that has recently been deleted from the system.

⚠️ When you click the blue expand/open icon next to their name from the Inbox, it will direct you to the patient list in a new tab, and you will see a popup in the bottom left hand corner that says "Patient does not exist or deleted".

Restoring Deleted Patient Profiles

  1. If a patient profile accidentally gets deleted, or if you decide that you'd rather keep a patient profile active, you will always be able to restore the information from the recently deleted tab.

From the web, head to the Settings in the upper right hand corner.

2. Locate and click on the Recently Deleted tab from the left hand menu.

3. Then, click on Client/Patient from the sublist.

4. On the left you will be able to use the checkboxes and select one or multiple patients you need to restore. You will also be able to see the date of deletion listed in the columns.

For further filtering, you can search specific patient names at the top if needed.

5. When you have the patient(s) that you need to restore selected, click Restore in the upper right hand corner.

6. Be sure you Confirm this action as an added precautionary method.

7. Once finished, you will see a green popup in the bottom left hand corner of your screen that says "Patient profiles have been successfully restored."

From there, head back to your patient list where you can search and locate them!


Patient Profile Navigation Tips & Reminders

While we are viewing patient profiles on the web, let's go ahead and review just a few quick tips, tricks and reminders that may help your flow and daily patient management.

1. From the web, head to your Patient List > locate and click into a patient profile.

2. One of the most important tools to make sure you and your team are using effectively, is the Patient Portal in AR!

⚠️ The Patient Portal is the patient-facing side of the system, where patients can manage:

  • Booking, cancelling, rescheduling appointments

  • Credit Cards that have been saved to their profile

  • Completing required paperwork prior to visits

  • Viewing pre/post-treatment instructions

  • Updating profile information and Medical History

  • and more

In addition to mass-sending the Patient Portal Invite link through Smart Configuration, you can also manually send the invite email on a patient-by patient case.

If you notice a patient has not yet been invited to the portal you can switch the toggle to send them an email invite.

Just make sure they have an email address on file first- you could even head back to their text messages in the previous tab and verify active email address from there.

3. Once an invite email has been sent and it shows they have been invited to the portal, you can always resend the email from this section if needed.

  • If a patient ever forgets their password for their portal, you will also see an option to help them reset their portal password from their patient profile if ever needed.

4. The section below also highlights Communication Settings, Date of their last visit, membership information, total sales relationship with the practice, and a reflection of any saved credit cards.

5. Across the top of their profile there are additional features and tools that you can use (please note; some of these are dependent on enabled integrations such as eFax, and point of sale)

6. The More Info button to the far right will provide further options such as Export Procedures, Upcoming and Past Appointments, Document Repository (completed paperwork and procedures), and Payment History
