eFax Configuration - Creating Templates & Favorites

Save frequently used eFax numbers as Favorites & build Templates that contain required information you need when sending to a particular lab

Templates & favorites allow you to pre-configure the required contents of your eFax when sending to a certain number. For example, if Lab A requires you always include X, Y, Z information, you can make that number a favorite, pre-build your template for that specific number, then each time you send an eFax, you can skip the manual setup & speed things up!

This might include things like your account number for the lab, clinic name and address, provider's name, etc. See below for more information!

Create eFax Templated Messages

1. Login to Aesthetic Record through the web. Navigate to the Settings wheel in the upper right hand corner, and select Clinical Documentation.

2. Choose eFax Configuration from the menu options.

3. We will start the configuration by creating the template first. Click Create Template.

4. We've provided a list of snippets that are commonly used when sending over lab orders. When you slot those into the body of the eFax, we pull that information into the message. If you have additional static content that needs to be added (i.e. Account # or other lab-specific information or test that aren't offered in our panel selection) add that information into the message.

We recommend a naming convention that you can easily identify - either the lab name or lab name and type of template.

Once you finish, click Update. Repeat this process until you've finished all your templates!

Create Favorites List

5. We'll start matching our templates to certain eFax numbers by clicking Favorites.

6. Click Create Favorites to move to the next step.

7. Add the name of the lab or recipient who will receive this template.

Keep in mind, you can match the same templates to multiple favorites, so don't use the Template name as your Favorite name!

8. Continue by adding the phone number, and in the Set Default Template field, you will have a drop down that includes all the templates you made in the prior step, Choose the appropriate one for this number, and click Update.

9. We'll go into how to send an eFax in another article, but to get an idea as to where these templates will show up, here's a preview!

Once you click to send eFax orders, when you select your Favorite from the drop down, it will auto-populate the corresponding template you want to use.

10. Once you click to continue, you will be able to finalize the message. You have the option to edit all the content prior to sending. You'll notice the snippets have been replaced with the variable content, and the verbiage you added is there!
