Send paperwork on-demand to the patient portal through a procedure

When you add a Consent or Questionnaire to a procedure (that was not marked as Required / sent when the appointment was booked), that paperwork will be sent to the Patient Portal automatically. If the Patient completes the documents as part of the procedure flow, the updated, completed document will be available for viewing in the Patient Portal. If it is not completed (i.e. Save & Continue vs. Save & Fill) the Patient has a 24 hour window to complete the documentation after it is sent.

Patient paperwork will be available to complete for 24 hours after the start of the appointment time inside the Patient Portal.

1. Like mentioned above, If you tie an appointment to a procedure that has required paperwork assigned to it, you will already see the paperwork attached for Questionnaires & Consents when you start the procedure (this example is starting a procedure on the web, however the same applies when starting a procedure on the Provider App).

2. If the service changes, or another service is going to be performed during the visit, you can click to add required paperwork that also needs to be completed by the patient for each section.

For example, this patient booked a Tox appointment, but has decided to also receive a Vampire Facial during their appointment. Locate the related consent if needed, and click it to add to the required section.

3. From here, saving the procedure again after adding more paperwork (Vampire Facial Consent) will automatically push the additional paperwork to the patient's portal.

4. From the patient's side, upon logging into their portal they will now see the new paperwork that has been pushed for completion (Vampire Facial example).

5. Depending on your workflow, this is a great tool to use as it allows you to direct patients into their portal through their own device to continue filling any paperwork out before continuing.

Keep in mind, you can also have patients complete their outstanding paperwork by handing your device to them, however some may prefer this being done prior to calling them back into the provider room for their procedure.

Please Note:

  • If paperwork is sent to the portal by appointment booking, meaning the paperwork is automatically tied to the service for booking internally, patients will see "For the Appointment Booked on [date and time]"

  • If paperwork is sent to the portal through the procedure, like the steps we just looked at above, patients will see "For the procedure [date and time]"
