Redeem Items from the Patient's Wallet (Package & BOGO)

This guide provides instructions on how to redeem an item from a patient's wallet using a package or buy one get one (BOGO) offer.

**Important note**: You can only redeem an item from the patient's wallet via the iOS App.


โ€‹1. Once you have added your treatment markings to a COSMETIC procedure, tap the credit card icon to take payment.

You MUST chart the items for them to redeem properly from the wallet and they must be the same item as the one tied to the package. If you do not chart the items, it will not let you redeem.

2. If you are doing a HEALTH procedure, simply add the item to the cart screen.

Tip: You can also reach this step by tapping Take Payment under the procedure photos from the patients timeline.

A. Redeeming Items from a Pre-Paid Package

3. If the client has already pre-purchased a package, tap on Wallet at the top to see the items in their wallet. Search for the item in the wallet you are looking for and tap it.

4. A pop-up will appear showing the product details. The system recognizes that 15 units of Botox were charted, so you are only allowed to redeem a maximum of 15 units for this procedure. Type in the amount of units you want to redeem and hit Redeem.

5. You can also Redeem for Value. Example: Someone purchased a Botox Package of 100 units for $1,000. A few months later, the found out they no longer could receive Botox but they already paid for the package. The clinic can decide to redeem for value and use that package cost towards the cost of any other visit.

This patient came in and the total for today's visit was $180. The clinic can take $180 out of the pre-purchased $1,000 Botox package and use it towards todays visit. After today, it will show the patient has $820 left in this package (which can still be redeemed as Botox units or redeemed for value.)

6. Whether you Redeem or Redeem for Value, it should bring the total down to $0 (unless there are other items in the cart.)

7. You MUST complete the check out process so that the items can be deducted from the wallet (even if the total is $0.) When the cost is $0, the only available option to pay is cash.

Alert: You CANNOT redeem Wallet Items from the Checkout Screen. If the AR Wallet is lit up blue, it means you have dollar credits available (such as deposits, etc.) which can be redeemed here. Any ITEMS must be redeemed BEFORE this screen.

**If the AR Wallet show as Unavailable, it means there are no dollar credits in the patients wallet.

8. Confirm that you see Payment Successful.

B. Purchasing a package during the procedure using the Buy and Use feature.

9. Once the items have been charted, tap the credit card icon or tap Take Payment under the procedure photos on the patients timeline. (See step 1.)

Tap Promotions and tap the promotion you want to add to the cart.

10. Since 15 units of Botox were charted on the patient and I have selected to purchase the package, it automatically went to Buy&Use.

Quantity: how many packages do you want to add to cart

Units to Redeem: how many units do you want to take out of the package. (I can only redeem a max of 15 since I only charted 15 on the procedure.)

Tap Add to Cart.

11. This is confirming that the remaining 85 units left in the package will be sent to the Client wallet.

12. We see the original price of the 15 units of Botox was $180. The price of the Bank your Toxin Package is $1,000. Since I used the Buy&Use feature, the client is only being charged $1,000 for the package and the original $180 for the Botox is already being redeemed. Next, complete the checkout process.

C. Redeeming Items from a BOGO.

13. Once the items have been charted, tap the credit card icon or tap Take Payment under the procedure photos on the patients timeline.

14. If the BOGO was already pre-purchased, once you reach the check out screen, tap Wallet and select the BOGO you are wanting to redeem.

15. Since 2 B12 shots were charted, you can redeem 2.

16. The price goes down to $0 since the items were redeemed through the BOGO. Remember to COMPLETE THE CHECKOUT PROCESS.

D. Purchasing a BOGO during the procedure using the Buy and Use feature.

17. If purchasing the BOGO during the procedure, tap Promotions and hit the BOGO you want to add to cart.

18. Since 2 B12 shots were charted and the BOGO being purchased is buy one B12 shot, get one free, the system switches to Buy&Use. You are buying 1 BOGO but redeeming 2 units today (since patient received 2 shots.)

Complete the checkout process.

E. Purchasing a Package/BOGO during a procedure and saving it for future use.

19. To pre-purchase a Package or BOGO in a procedure and NOT redeem, simply hit Add to cart under Buy.

20. Hit yes to send the items to the wallet.

21. If pre-purchasing the Package/BOGO, the patient will be charged for their items in the cart, as well as the Package/BOGO to use on a later date.

**Notice the red words indicating that the Package/BOGO will be sent to the wallet since it was not redeemed.
