Q: What is the Cloud-Based eRX integration in Aesthetic Record?

A: Cloud-Based eRX is an electronic prescribing solution integrated with Aesthetic Record that allows practitioners to prescribe medications directly from within the AR platform. Key features include:

  • Prescribing directly from patient profiles

  • Quick prescribe option for refills

  • Pre-populated common prescribing options

  • Full drug database and interaction tracking

  • Prescription favorites

Q: Where is eRX available?

A: Currently, eRX is only available in the United States and Puerto Rico.

Q: What types of subscriptions are available for eRX?

A: There are two main subscription types:

  • EPCS (Electronically Prescribed Controlled Substances): For prescribers who need to prescribe controlled substances

  • Non-EPCS: For prescribers who do not need to prescribe controlled substances

Both subscription types are available in 6-month or 1-year plans:

  • EPCS 6-Month: $295 ($45/month)

  • EPCS 1-Year: $505 ($40/month)

  • Non-EPCS 6-Month: $235 ($35/month)

  • Non-EPCS 1-Year: $397 ($31/month)

Q: Is there a refund policy for eRX subscriptions?

A: No. Once you start the application process, you must complete it to successfully save, and eRX subscriptions are non-refundable.

Enrollment Process

Q: How do I enroll in eRX?

A: You can enroll via the Settings tab on your AR dashboard. Click "ePrescribing" and then "Enroll" to begin the process.

Q: Who should be the first person to enroll in eRX?

A: The first person to enroll in the plan is responsible for setting up the practice. This person must complete the entire enrollment process to activate eRX and invite additional Prescribers and Support Agents.

Q: What roles can I select during enrollment?

A: When enrolling, you can select:

  • "Prescriber & an Account Administrator" if you are a prescriber setting up eRX

  • "Account Administrator Only" if you are not a prescriber but are setting up the eRX account

Q: What information is required for Prescriber enrollment?

A: Prescribers need to provide identification information for verification, which includes personal and professional details. The process involves a 4-step ID verification process through ID.me.

Q: What is ID.me verification?

A: ID.me is a service provider that ensures the identity of prescribers on the SureScripts network. Prescribers must complete an ID-proofing process as a requirement for prescribing through the system.

Q: What is an "ID Token Authorization"?

A: In order for a Prescriber to prescribe on the SureScripts network, they must complete an ID-proofing process. This is a requirement, and the service provider ID.me requires a $25 yearly activation fee. This same ID Token will be used each time an EPCS prescription is written via a mobile app, text message, or email.

Q: What if a Prescriber already has an ID.me account?

A: If a Prescriber already has an ID.me account, it is interoperable and can be applied at no additional charge. They will simply log in to their existing ID.me account once initial enrollment is complete.

Q: I work in multiple practices. How do I enroll in each one?

A: The eRX plan is based on the AR Account. Each enrolled Prescriber is enrolled under a specific account, with a ratio of 1 Account:1 Prescriber. If a Prescriber works at multiple clinics that are completely separate, they must be enrolled separately under each account.

There will only be 1 required ID.me process since it is interoperable. Since the solution is embedded in the AR portal and paid by an account, the Prescriber's subscription belongs to that account. If the account has multiple locations, the Prescriber will be eligible to prescribe at each location.

Support Agents

Q: What is a Support Agent?

A: A Support Agent is a user who can prepare prescriptions for Prescribers to review and approve. At least one Support Agent must be added and activated for a Prescriber to fully enroll and prescribe successfully.

Q: How do I add Support Agents?

A: After a Prescriber is enrolled, go to Settings > ePrescribing > Support Users and click "Add Support Agent." You can:

  • Add an existing AR user as a Support Agent by selecting them from the dropdown

  • Add an external support agent if you're a solo provider or have no other AR users

Q: What is an External Agent?

A: For single-user practices where there may not be a second AR user to perform the identification verification process, you can invite an external user for the sole purpose of confirming the Prescribers' identity and approving their enrollment. This External Agent will have no need to ever visit the portal beyond this action, will not have access to AR, and cannot access patient records.

Q: What's the cost to add Support Agents?

A: FREE! For every Prescriber, you can add 5 Support Agents at no charge. Support Agents can support as many Prescribers as are enrolled in the practice, but they are only counted once. For example, one Support Agent can prepare prescriptions for 3 different providers, but they are only counted as 1 user seat.

Q: What role do Support Agents play in the enrollment process?

A: Support Agents must verify the Prescriber's identity as part of the enrollment process. This is an additional safety/identification measure from ScriptSure to keep your practice and patients safe. You must enroll at least one Support Agent in the plan so they may serve as the agent responsible for verification.

Using eRX

Q: How do I access eRX inside of AR?

A: You can access eRX in three ways:

  1. From the AR web dashboard, via the Patient's timeline using the blue "ePrescribe" button

  2. From the web, via the summary report that accompanies each procedure

  3. From the Provider app, through the quick prescribe option in the front menu of blue dots

Q: How do I know what was prescribed?

A: When you use the quick prescribe option, the note is stored in the Document Repository just like a regular procedure. After every prescription encounter, a PDF is stored with a record of what was prescribed in the Document Repository (this is not a prescription, but for record-keeping only). Additionally, on the summary report of any ePrescribe encounter, the prescription is listed.

Q: Can I prescribe controlled substances?

A: Yes, if you choose the EPCS subscription. However, if you do not need to prescribe controlled substances, you can choose the Non-EPCS subscription, which is more affordable.

Q: I can prescribe controlled substances, but I do not at my clinic. What should I choose?

A: The choice is yours! Please keep in mind that if you add a DEA number to your enrollments inside of the ScriptSure portal, you will be auto-enrolled in EPCS. If you do not need EPCS, make sure you leave that field blank.

Q: My Prescribers made it to the success screen, so why can't they prescribe?

A: In order for ANY Prescriber to successfully prescribe, a second party must approve their enrollment. This is another safety/identification measure from ScriptSure to keep your practice and patients safe. You must enroll at least one Support Agent in the plan so they may serve as the agent responsible for verification.

Account Management

Q: How do I track enrollment progress?

You can track Active, Inactive, and In-Progress Prescribers and Support Agents. Check the "In Progress" tab to resend email invitations to any Support Agent or Prescriber who needs to complete their part of the enrollment process.

Q: What happens if someone leaves my practice and they are enrolled in an eRX plan?

To prevent that Provider from accessing patient records through the ScriptSure login, a Practice Administrator will need to inactivate them immediately from the ePrescribe option under Settings. This is the only way to take them off the plan.

Removing a person from Aesthetic Record will not remove them from eRX. In order to secure the low-cost options provided, the associated fees are paid upfront. If a Prescriber is inactivated prior to month 4 (6-month plan) or month 9 (1-year plan), the practice is eligible for a 25% refund on the pre-paid fees.

Q: How do I inactivate a user?

To inactivate a Support User or Prescriber who leaves your practice, head to their name under the "Active" section and click "Inactivate" on the right.

Q: How do I reactivate or renew a Prescriber's plan?

You can reactivate and renew Prescribers when their 6-month or 1-year plan expires by going to the "Inactive" section under the Prescribers tab and clicking "Activate & Renew" on the right.

Q: How do I receive notifications about prescriptions waiting for approval?

Head to User Settings > User Profile > Alerts to set up notifications from ScriptSure about prescriptions waiting for approval.

Troubleshooting

Q: I completed enrollment but still can't prescribe. What's wrong?

Ensure that:

  1. The Prescriber has fully completed their enrollment including ID verification

  2. At least one Support Agent has been added and has verified the Prescriber's identity

  3. The subscription is active and hasn't expired

Q: Can I transfer my subscription to another provider?

No, subscriptions are tied to specific Prescribers. If a provider leaves, you'll need to inactivate them and enroll the new provider separately.

Q: Where can I get more information about using eRX?
