Adding Your Sunbit Prequalification Link to Patient Communications

This guide provides a straightforward process for configuring patient communications with the Sunbit Integration Link. By following these simple steps, you can easily integrate your Sunbit Integration's pre-qualify links, improving appointment management and patient experience.

Before continuing, make sure the integration is fully enabled and your Sunbit link is set up.



Adding Sunbit's Prequalification Link to Patient Communications

1. Navigate to your AR account through the Web https://www.aestheticrecord.com

2. Click the Appointments Tab at the top of your browser.

3. Locate the wrench icon in the upper right hand corner of your calendar.

4. Next, click on Smart Configuration to access your appointment-related settings.

5. Lastly, click on the Communication Tab.

This section is where you configure the automated patient emails and SMS messages that send out regarding appointment bookings, reminders, cancellations, etc.

⚠️ Please note: if you do not see the Communication tab, you may need to have the admin on your account check your user privileges through Settings > Teammates > Users

6. To the right of the Special Instructions tab, click on In-Person Booking.

7. Over to the right you will see a list of Snippets.

These are variables that auto-populate relevant information from AR when sending out to patients. For example, using the Clinic Location snippet will automatically include the clinic at which the patient booked when they receive their confirmation message after booking their appointment.

Locate the Sunbit Invite snippet at the bottom of the list.

8. Copy the entire bracketed portion of the snippet.

⚠️ You need to make sure you do not delete any part of this snippet, or leave off one of the end brackets or it will not pull through to the patient-facing communication properly!

After copying, paste the snippet over to the left in the text box. You can place this wherever you'd like within the text box itself.

9. While you are in this section, you can double check the rest of the verbiage in the communication is accurate and make any necessary edits. When you are finished, click Save and this will save the pre-qualify link to this email template.

After saving, we recommend you click "Preview Email Template" at the bottom of the text box for a preview of what the communication will look like when sent to patients.

A good example of verbiage to put here would be

"Prequalify for your Sunbit Flexible Spending amount here: {{SUNBITINVITE}}"

10. Once you save this section, you can repeat the steps for In-Person Text Messages, and if you'd like the Sunbit snippet to send out through your other communication, such as Appointment Reminders, you can do that by clicking into the other tabs across the top, repeating the steps above, then saving!

  • Virtual Booking Email & Text Message

  • Cancellation Email & Text Message

  • In-Person Reminders

  • Virtual Reminders

  • Reschedule Email & Text Message

  • Survey Communications

Viewing Sunbit Information from the Patient's Side

When patients receive confirmation emails regarding their appointment, Sunbit information will be included at the bottom of the email as shown below.

⚠️ If you do not want Sunit pulling through your communications, you will need to go to Smart Configuration on the web > Communications > and remove the Snippet from each communication tab.

Patients can click the link to be redirected to the signup and enrollment steps with Sunbit from there
