1. Navigate to https://app.aestheticrecord.com/settings/profile
2. Click "Clock In"
3. Click "Clock In"
4. Click "Ok"
5. You can also clock in and out by clicking "Time Clock", located at the bottom of the settings page.
6. Click "Time Clock"
7. Select "Clock In or Clock Out"
8. Confirm the time and select "Yes"
9. If you select "Settings", you can manage the pay period type, pay period start day, and you can choose to automatically clock the employee out after a certain amount of hours.
Setting Up Your Time Clock
10. You can choose to let employees clock in and out as needed, or you can impose time constraints that "stop the clock" when they hit a max number of hours. You do this by enabling or disabling overtime.
When enabled, employees will continue to have a running clock regardless of the max hours.
When disabled, the employee has a max number of hours they will be paid for per day.
11. To set your allowed hours to work, you will set 2 thresholds.
First, you can assign a max number of hours before employees are prompted with a clockout screen.
You can also set a max number of hours before a forced clock out occurs. When the employee hits this number of hours, they will be automatically clocked out.
*If you allow overtime, employees will be able to clock back in even if they are forced to clock out at the hour threshold.
12. You can choose the cadence you wish to pay your staff so that your timecards will be organized in the same fashion- either monthly or weekly
View Time Clock Report & Manage Time
13. To access the Time Card reports, head to Business Insights, and click "Time Card"
14. Once inside this report, you can view your entire staff's total pay from this dashboard. It includes total hours, pay per hour and total gross pay.
15. Depending on your privileges, you can manually edit your time entries and those of others. Select the staff you want to view or edit, and click "View Details."
16. To manually add time for staff, click "Add Time"
17. Select and input date and time, then select "Save"
18. To edit time, select "Edit" under clock in or clock out.
19. Choose the date and time.
20. You can also delete if needed.
21. Confirm
22. If you have overtime enabled, when an employee clocks more than the max threshold, you will see that reflected in their time card by a red warning error. If they clock in multiple times in a day over the alloted hours, you will see it for each entry.
23. You can also see the amount of total hours and pay for each staff members from this same menu.
How to Disable the Time Clock
If you do not want to use the time clock feature, you are now able to disable it in settings. This will take away the clock in and clock out buttons on the web and app. To disable, follow the steps below.
24. Click the settings wheel
25. Click "Time Clock"
26. Click "Settings"
27. Use the toggle to disable
28. Click "Yes, Disable it!"
Tip! You can always go back and enable if you choose to use the time clock feature again.
