This guide provides step-by-step instructions on how to manage no-show appointments in Aesthetic Record. It explains how to mark an appointment as a no-show, cancel and charge/not charge the client, restore the appointment, and filter for no-shows.

1. Navigate to https://app.aestheticrecord.com and click on the Appointments tab at the top.

2. Find the appointment you want to mark as no show and click on it.

Alert: You can only mark an appointment as No Show on the day of or if the appointment has already passed.

3. Click "Mark As No-Show"

4. You can decide if you want to charge them the cancellation fee or not.

Remember, for this to pop up, the patient had to enter their credit card at the time of booking.

5. To view or restore your no-shows, click back on the appointments tab, then click the wrench icon at the top right.

6. Click "No Shows"

7. Here you can view or restore No-Shows. Click "Restore" to have it appear back on the Appointments calendar.

8. Click "Confirm"

9. If you click back onto the Appointments tab, we see the appointment has been restored.

Tip: If you did CHARGE the client the cancellation fee once you marked them as a No Show and you choose to restore the appointment (patient ended up showing up, etc.), you have to go back and manually refund. The client will not be refunded automatically. You can refund by clicking the Sales tab at the top, finding the Appointment Cancellation/Rescheduling Charges that correspond with the correct appointment, clicking into the invoice, and refunding.

10. If you go back to the Wrench Icon and click on No Shows, you can also view past No-Shows by adjusting the date range.

11. The filter option allows you to filter the clinic and/or provider that has had No-Shows.
