Setting Up Your Chart Filters
Tip! Please note, the ability to Add/Edit/Delete Chart Filters is a User Permission. Admins should review which staff members are allowed this permission and ensure that it is enabled in their user profile.
1. To add, edit, or delete your Chart Filters, click on the Settings wheel from the web browser.
2. Click Chart Filters
3. If this is your first time viewing Chart Filters you will notice we've included a few standard categories to get you started, however, this list will not be exhaustive.
Categories you create are automatically alphabetized to make locating categories easier.
At the top of the list, Uncategorized is standard for all procedures that have not been tied to a category yet. When viewing procedures from patient timelines, any chart with no category will be labeled as Uncategorized.
The Procedures Count column gives you the total number of Patient procedures tied to each category.
To create a new category, click Create Category in the upper right hand corner.
4. Name your category- choose categories that align to how you chart! This may mean a category for Treatment Plan or one for GFEs. The goal is to help you easily link procedures together for faster review when needed.
5. For example, if we create a category called GFE, then we can sort our procedures on the Patient Timeline by GFE and quickly scan any procedure that has been listed as a GFE.
Edit or Delete Chart Categories
6. If you would like to edit or delete an existing Chart Filter, click on Edit or Delete.
7. For example, my clinic has a multitude of Weight Loss treatments and programs, so this category is too broad.
8. Instead, I create a category called GLP-1 so that when I am on a Patient's timeline, I can quickly pull up all their GLP-1 injection visits.
If you wish to delete a category, you now have the option to do so! You may also reassign the tied procedures of the deleted category to a new one. Simply click "Delete".
10. If a procedure is tied to the category you want to delete, select the new category in the dropdown menu.
Additionally, you can skip applying the procedures to a different category altogether instead select the Uncategorized label. You can always edit this directly from the Patient chart on their timeline.
We’ve just covered how to create and manage categories. The following steps will show how to apply and edit them, as well as use the filter tools on patients' timelines.
Assigning a Category to a Cosmetic or Health Chart
11. You can assign a category as you begin a procedure in the Procedure Information step for both Cosmetic and Health before you start charting the actual treatment. We recommend to set it in this step so it's done and also to name the procedure something more specific.
With this new filtering option, you can search by name, so it is helpful to add keywords into your Procedure Names for easy searching later.
In Cosmetic Procedures you will see the field "Procedure Name" to fill in
In Health Procedures the procedure name is tied to the field "Chief Complaint"
i.e. If I have a Sylfirm X and I have a Morpheus, I can search within the category of RF Microneedling by adding the device name to the procedure. We will cover this in a subsequent step!
12. If you aren't quite sure what all will be included in your treatment when you start the visit, you can also set your category once complete from the Patient Timeline.
The Chart Category will default to Uncategorized, but click the down arrow to reveal your options. Below is an example of the web view.
13. Anything you've added or edited in the Chart Filter section of Settings > Clinical Documentation > Chart Filter will appear here for selection. You can click the dropdown to select from all categories, or you can start typing in the name of a category to locate and apply.
14. One you select your filter, it will be tied to the chart but can be recategorized at any point by clicking the down arrow and choosing a new category.
15. Below is the iOS Provider App view. It works the same as on web. Click Select a Category, and choose from the drop down to set a category after the procedure is complete.
16. As a quick refresher if you forget to name your procedure and would like to edit from the iOS app, click your Edit pencil, and once inside the chart, locate the Procedure Information tab. Here you can edit the procedure name, add Consents & Questionnaires and rematch the procedure to the right appointment if needed.
Sorting & Filtering Your Charts
17. Now that your charts are categorized and have corresponding names, you can easily filter and sort them for customized viewing. Starting from the web view below, you will see a set of filtering options across the top of the Patient Timeline.
18. On the iOS app, we have nested all your sorting & filtering options under the filter button to the right of the search bar to reduce the clutter on your screen.
Tip! Please note, Chart Categories are available on both Cosmetic & Health Procedures now through Web and iOS.
19. To start filtering your charts, you will click on the Filter button, and you will see the available filtering options. You can filter by the following:
Date Range
Provider
Procedure Type
Or any combination of the above to drill down further
Once you've set your filters, click Done, you will have only those charts that fit your criteria available for viewing in the timeline.
20. If you want to remove the filter so you can see all charts again, go back into the filter view and click Remove Filters.
21. Below is an example of applying multiple filters: a date filter & a Procedure Type (category) filter.
22. On the web, it works the exact same way, you just have a slightly different view given the size of the screen. On the web, once you set the filters, they will be automatically applied, and to remove them click Reset Filters.
23. You can also filter your view using the Search function. This will search by the Procedure Name, so to reiterate, if you want to be able to drill down further into a category, by including attributes in the Procedure Name, you can do so. Notice below, it does not have to be an exact match. By searching Sylfirm X, I am matching to any procedure that contains Sylfirm X in the title.
24. You can also compound your filtering options by utilizing the search function AND also setting any combination of the date, provider or procedure type filters. This is helpful when you have a procedure that could multiple categories.
In the example below, I am sorting by name, date, provider & Procedure Type. If my clinic has a Sylfirm X, Morpheus and Genius, this would be an easy way to pull all my RF Microneedling charts and then drill down to see only those with Sylfirm X.
Another Example: If I have a Procedure Type/Category called Two-Week Follow-ups, it may contain followups for various procedures and brands- toxin, filler, laser, etc. that could be listed in other categories. I can set the Procedure Type filter and then search for Dysport to filter my view for charts that include only Dysport within my Two-Week Follow-Ups category (as long as I have been consistently naming & categorizing them! )
