1. Navigate to your AR account through the web and click Appointments at the top of your browser.
2. You can either click the blue Create button in the upper left hand corner, or you can select the specific provider calendar and click directly on the calendar for the chosen day and time you are needing to schedule the visit for.
3. Be sure you click Virtual for appointment type.
4. Navigate to the Select Clinic tab and click the drop down.
5. Select the correct clinic, especially if you have multiple clinics within your account!
6. Next, select the specific virtual appointment you are trying to schedule (Good Faith Exam, Virtual Consultation, etc.)
7. Choose the date and time for the visit. Keep in mind- if the date and time you are looking for isn't showing as available, that means there is already another event scheduled during that time, or you will want to make sure the Provider Schedule is set up accordingly.
8. If you need to double book an appointment, or if you want to override the availability and book this visit outside of schedule hours, you can open up the time slot availability with these options.
9. Then, you will see additional greyed out time slots open up that you are able to choose from.
10. If you choose to follow through with selecting an overridden time slot, you will need to click "Confirm" as a required precaution.
11. Click the "Client" tab below, and begin entering client details. From here, you will either choose from an existing client's name, or if this is a new client to the system, you can create them a profile at the time of booking.
12. Click "Save" and then you will be redirected to a page where you can send the Booking Confirmation to the client.
Conducting a Virtual Appointment (Good Faith Exam, Consultation, Follow Up Visit, etc.)
1. On the day of the appointment, head to your calendar > click on the upcoming appointment, and hit the "join meeting" button. That will take you into the virtual meeting. You can do this from the app or the web.
Keep in mind, the Join Meeting button is only available to the provider in which the virtual visit is scheduled with. If a different provider needs to attend the meeting, you will first need to edit the appointment to the correct provider name.
2. Once in the meeting you will be able to see your patient. The meeting is transcribed. Your patient will be prompted to enter in a an OTP code that is sent to their phone in order to enter the meeting.
3. During or after the meeting you will need to create an encounter under the health timeline procedures section. From the web you can create a procedure by going to the patient's profile, click on create procedure, and choose HEALTH.
5. Tie in the correct appointment day and time as that's how the meeting will get transcribed into the procedure. The transcription from the meeting will show up in the procedure typically within 20 minutes of the virtual appointment ending.
6. Add in any notes or templates, and you're done!
