Using the Reconciliation Tab in Aesthetic Record

This feature empowers you to track all patient payments within specified date ranges, check the status of those payments in Stripe, and see the payout date.

This report helps you account for the difference in payment collection date and bank deposit date with real time transparency provided directly from Stripe. With this enhancement, you can also quickly recognize if there's any disparity or issue with a payout.
​To access this invaluable tool, simply ensure you're designated as an Administrator within your Aesthetic Record profile

2. Head to Settings through the Web

3. Locate the POS tab, and click "POS Settings"

4. Click on the "Reconciliation" tab across the top.

5. Here is where you can view your Reconciliation report with beneficial information such as the total credit card amount collected and the total payout amount deposited to your bank.

Use the date filter tool for specific date ranges you are looking for.

6. Within the given date range chosen, you will see the Total Credit Card dollar amount that has been paid through AR transactions, as well as the Total Payout dollar amount that has been deposited to your bank.

7. Each column can be sorted using the little up and down arrows by each column type.

Payment Date: date that the transaction was run through AR

Payout Date: date that the payment was paid out and deposited into your bank

Payment status: will reflect if the payment was a success, if it has been refunded back to the patient, etc.

Amount Collected: matches the invoice amount in which the patient paid through the transaction

Payout Amount: Will be the Amount Collected minus processing fees for credit card or manual entry of card information.

8. You can use the "Filter" tool to filter by clinic and payment status. Be sure to take advantage of the "Download Excel" option if you would like to export your preferred view of this report.

9. You can filter to one or multiple clinics and statuses to change the view of the report.
