Please note: Prior to using ChartSmart AI to generate procedure or encounter notes, you will need to activate your subscription. Head to Settings > Billing > Subscriptions > ChartSmart AI to select your preferred plan.

Add a New Procedure Note
1. Navigate to the procedure, and click +Add Notes
2. To begin the ChartSmart process, click Start Dictation. You may be asked to enable your microphone. Please note, this must be done in order for this feature to work
3. While you are dictating the note or recording the encounter, the dictation will run, but you will not see a live transcription. As long as the Stop Dictation box is red, you are actively recording.
Once you are finished, click Stop Dictation to end the session.
4. Your transcription will populate once the system has had a few seconds to process. In this window, you can add any additional information you wish to add such as a Medical History information (@call) or Dot Phrases,
5. Here is an example of pulling in Medical History fields via the @call function
6. You can also add Dot Phrases- as an example, this is pulling in information regarding the Patient's prior GFE clearance for the lip procedure.
7. Once you've included any additional information and you are satisfied with your inputs, click ChartSmart.
8. Select the type of note you would like to generate. Since this was a procedure, we are selecting Procedure Note in this example.
Additionally, we have proactively checked to save your original dictation as a note. If you do not wish to do this, uncheck that box
9. You can also add a custom prompt if you have something more specific in mind. In any case, once you've made your selection, click Save.
10. You will see the output of your ChartSmart response in markdown format. This will go away once you have saved your note, but as long as you are in Edit mode, you will see the hashtags and can also make any changes.
If you are curious what the finished note will look like, click Preview to view it.
11. If you prefer to keep editing, advance your cursor to the area you wish to edit and click into the note. Add any additional information here.
12. You can toggle between Preview and Edit mode as you make updates if you would like. Otherwise, it is a WYSISYG editor- "What You See Is What You Get." It will look very similar except the markdown characters will be replaced with header formatting.
13. Once you are finished with your final edits, click Save.
14. You will now have 2 saved notes:
Your original dictation will be the first note.
15. Your ChartSmart Procedure note will be the second note
Edit an Existing ChartSmart Note or Re-Run Original Dictation
16. You can edit either your original dictation or your existing ChartSmart note by clicking the three dots at the top right and clicking Edit
17. To change the format of your existing ChartSmart note, click to Edit on ChartSmart- generated note. This will use the formatted information. you've already saved as the NEW input information for another round of ChartSmart.
In this case, we are using the output of our Procedure Note function to re-run ChartSmart and create a SOAP Note instead,
Please note, re-running ChartSmart within the same procedure will still count as 1 chart.
18. Conversely, if we want to use our original dictation and change our ChartSmart note type instead, we'll click the Edit option on our original dictation note and select SOAP Note.
19. Once generated, you will see the new SOAP Note has been added in draft (you will need to scroll up to the top for most recent). Make any final tweaks and click Save.
If you do not wish to keep both ChartSmart notes, delete the one you don't want by clicking on the three dots and selecting Delete.
