Please note: Prior to using ChartSmart AI to generate procedure or encounter notes, you will need to activate your subscription. Head to Settings > Billing > Subscriptions > ChartSmart AI to select your preferred plan.
Create an Encounter & Encounter Note with ChartSmart
1. From the Patient's timeline, click Create Procedure and choose Health.
2. Complete your initial chart creation steps.
3. Once inside the charting step, to being your dictation or to record an encounter click Start Dictation. You will need to make sure your iOS permissions allow you to access the microphone or this feature will not function,
4. You will not see the transcription populate in real time As long as Stop Dictation is red, it means the system is actively recording your input. When you are finished, click Stop Dictation,
5. You will then see the transcription output of your recording. Click into the transcript to make any edits.
6. Add additional information from Aesthetic Record like Medical History with the @call function or Dot Phrases or any other information that's missing.
7. Once you are satisfied with your input, click ChartSmart
8. Select your preferred format or you can create a custom prompt if you have something specific in mind.
9. Once you've made your selection, click Save,
10. The system will take a few seconds to process your information and prepare your note.
11. Once complete, you will see the ChartSmart AI note in the encounter window.
Please note, when you are in editing mode, you will see the note in markdown format which means it will have additional hashtags that will not be there when saved. If you want to preview the note when it's not in markdown, click Preview,
12. If you wish to make more edits, you can go back to edit mode by clicking Edit or clicking into the note.
13. Once you are satisfied, click Next to continue finalizing your Health Procedure.
View Encounter Notes from the Patient Timeline
14. You will see an abbreviated version of your ChartSmart encounter note on the timeline If you wish to view the full not but NOT enter into the procedure to make edits, you can click View Full.
15. A modal will appear that allows you to view and scroll through the entire note. When you are finished, click the X to return to the Patient's timeline,
16. You can view your original dictation at any point by clicking View Notes from the procedure timeline.
17. Once inside, you can use your original dictation to re-run the ChartSmart tool using a new procedure format.
18. To do this, click the three dots at the top right, and click Edit.
19. Click ChartSmart, and then select your new format from the prompt menu, and click Save.
20. Your new output will generated as an additional note.
21. You can follow the aforementioned steps to make any additional edits to your note then click Save to save it.
22. If you decide you prefer this note instead, you can click the three dots and select Copy. Then go back into the encounter and delete the existing note and replace it with this one.
