By following these steps, users will be able to open and close the drawer, perform cash in and cash out transactions, view register logs, export data, and keep track of the movement of cash in your clinic!
Locating the Cash Drawer in Aesthetic Record
1. Navigate to https://app.aestheticrecord.com/sales/cash-drawer
2. Click "Sales"
3. Click "Cash Drawer"
4. Select the clinic
5. Aesthetic Record keeps track of who has had control of the cash drawer. This allows accountability and transparency when it comes to handling cash transactions. To access the cash drawer, simply click on the "Yes" button when prompted.
Open the Cash Drawer
6. At the beginning of the day, you will need to open the cash drawer. If you leave a balance in the drawer the previous day, it will show up as the opening balance. To open, click "Open Drawer"
Cash In
7. Use "Cash In" to add an amount to the drawer for any Aesthetic Record related transaction done via cash.
8. Next, you will then put the amount of cash and the notes/reason to keep track of what the cash payment was for. Then, click "Save"
Cash Out
9. If you take any cash out of the drawer, for any reason, make an entry under "Cash Out" so that the drawer remains maintained. Put the amount and click "Save".
10. By selecting "Upload", you will be able to upload any receipts or documentation for that entry as proof. Once you have done this, click "Save".
Bank Drop
11. When you take cash out of the drawer to deposit in the bank, (usually at the end of the day) you will click on "Bank Drop", put the amount of cash you're taking out, and the reason. Then you will click "Save".
View Register Logs
12. If you click on "View Register Logs" you will be able to see a breakdown of each user's activity when in the cash drawer. You can filter by date, clinic, and selected actions.
13. Once you're viewing the register log, you can also export the log to a spreadsheet by clicking "Export" if needed!
How to Close the Cash Drawer for the Day
14. By choosing "Close Drawer", the system will close the drawer for the day.
Keep in mind: If you want to begin each day with $300 (x amount) as the opening balance, you must make sure to leave that amount in the drawer and take out the rest for Bank Drop each day.
